Administrative Assistant
Job Responsibilities
- Responsible for the maintenance of division records, correspondence, etc.
- Make appointments for the Director and R & I Scientists
- Review documents and memos for the Director
- Plan and arrange meeting for the R&I Division and make necessary follow-up’s with Scientists
- Manage and maintain Director’s schedules, appointments and travel arrangements, in addition to Scientists traveling schedules and events
- Keep Director’s calendar, coordinating meetings, appointments, etc.
- Arrange for translation as requested by Director
- Arrange and co-ordinate meetings and events
- Responsible for Purchase orders for the R&I Division, including request for quotations, preparation of comparative statements, finalization of order, follow-up
- Take minutes at Technical Group meetings and follow up on decisions taken
- Coordinates and track the R&I division finance issues in collaboration with Finance Section.
- Coordinates events & training in collaboration with PKM and CS divisions
- Fill in for Director General’s secretary, as necessary
- Supervise, coach and train lower level staff
Qualifications and Experience
Essential
- Bachelor degree in business administration of any related field
- 3 to 5 years’ recent relevant experience including Admin fields
- Excellent knowledge of general office procedures and secretarial practices
- Excellent computer skills and aptitude
- Ability to plan, organize, and carry out multiple assignments
- Ability to work independently with minimal supervision
- Good working and communication skills of English and Arabic (bi-lingual)
- Ability to work independently with minimal supervision
- Previous experience in related roles working in an international institution
